Handoff
Pickup and departure for schools and care programs: adults approved in advance, a live queue, a pickup code and a photo or ID check at the curb, and a release record for every one.

Who uses it
- Staff
- Work the live pickup queue, scan the adult's code, match them to their approved photo or a photo ID, and release. Administrators approve photos and requests to add adults, manage who may collect whom, and are alerted when wrong codes pile up.
- Families
- Tap when they arrive, watch the status move, show the rotating code or QR at the curb, let another adult collect for a day, and get an alert the moment their person is released.
Where it appears
- Assure Staff on the web
- The pickup queue on a tablet at the door or a desktop in the office, plus photo approvals, authorizations, release history and the exception report.
- Assure Staff
- The same queue and code scanner on a phone, for staff moving along the pickup line.
- Assure, for families
- Arrival, pickup status, the rotating code and QR, day passes, the adults on the record, and release alerts.
The pickup problem
The end of the day is thirty minutes of controlled chaos. Cars arrive out of order, the person collecting is not always the person on file, and the one question that actually matters, “is this adult allowed to take this person”, gets answered by whoever is standing at the door. It is the same at a school’s dismissal, a childcare center’s pickup and an adult day center’s departure, and Handoff uses each program’s own words for it.
Who may collect is decided in advance
Every adult who may collect someone is on their record before they arrive. Standing access is approved by your organization, with start and end dates when it needs them; a guardian’s day pass covers pickup for that day only. A grandparent can be approved for pickup without being able to read anything else about the person. An authorization revoked while someone is sitting in the pickup line takes effect immediately, and the release is refused with a reason. How each release is checked is on the security page.
Revoked authorizations are never deleted. “Who was allowed to collect this person on the fourteenth” stays answerable.
How Handoff works
The adult collecting arrives and taps Notify Staff. Staff see them in a live queue with the vehicle, the plate, the pickup zone, and any note. There is only ever one open pickup per person, so two adults can never both believe they are collecting.
Staff acknowledge and prepare. The family watches the status move: Requested, Preparing, Ready, Complete. No one is left guessing whether they were seen.
The code proves possession. An adult with Assure shows the pickup code from their own phone, issued to their account for this pickup and changed every minute. Staff scan the QR or type it, and a code for a different pickup is refused.
The photo proves the person. With the code accepted, staff match the adult to their approved photo, with their name and relationship on screen. No approved photo on file means a photo ID that must show the full name on record. Someone on a day pass has no app and so no code; their photo ID carries the check.
Permission is re-checked. At the moment of release, not when the pickup was requested, so a change made at noon stops a 3pm pickup.
A release record is kept. Every adult on the record who follows pickups in Assure gets an immediate alert, and the family can open the pickup record: who released whom, to whom, when and where, with a confirmation code they can quote.
Someone else is picking up today
Plans change at two in the afternoon. A guardian can let a neighbor, an aunt or a friend collect for one day, straight from Assure, without phoning the office. The pass covers pickup only, lasts that one day, can be set up to two weeks ahead, and can be cancelled until it is used. The other guardians and the staff who release are told the moment it is made, and at the curb staff check the adult’s photo ID against the name the guardian gave.
Walk-up pickups
Not every pickup starts from a car line. Staff can open a pickup for an adult who walks up to the front desk, and the same rules apply. An adult with Assure shows the code from their phone and is matched to their approved photo or a photo ID. Someone on a day pass shows a photo ID. Anyone else is released with a photo ID and a written reason, on the exception report. Every path re-checks permission at release.
Guardians see who is on the record
A guardian can see every adult connected to the person they care for, what each may do and until when, but never another adult’s phone number or email. Asking to add someone is a request an administrator approves. Removing someone takes effect at once, except removing another guardian, which is a request, so one guardian cannot quietly cut out another.
When the code does not work
Phones die. Phones get left at home. Staff can release without a code, but it takes a photo ID check and a written reason, it is recorded as an override against their name, the family is still alerted, and it shows up in the exception report. The escape hatch exists and it leaves a mark.
Works on its own or alongside what you already use
Handoff does not need anything else from InzuCare. A district that already keeps notes, IEPs and parent messaging in other systems can run Handoff for dismissal alone: set up the roster and the authorized adults in InzuCare, and the pickup line is covered.
If you later add Messages, a family’s pickups and their conversations with staff sit on the same record.
Every module sits on the same core: your roster, the adults authorized for each person and what each may do, their approved photos, your locations, and your staff accounts. Add another module later and it uses that same record. How the platform fits together
Other modules
- Messages Conversations between staff and families, tied to the person in care, so the context travels with the message.
- Notes Service notes with signature and co-signature, amendments instead of edits, and voids that are never deletes.
- Progress Goals, observations and progress reports built from the data, not from recollection.
- Schedules Staff shifts, availability and time off, groups, the calendar and ways home, with conflicts flagged before they reach the floor.
Start with Handoff, or add it to what you run
Tell us which module you need first. We switch modules on for your organization, so adding another later is a setting, not a migration.
